Privacy Policy

This explains what Easence collects, why, and what you can do about it — in plain language, not legalese. If something here doesn't match what the app actually does, email us at support@easenceapp.com and we'll fix either the app or this page.
1. Information we collect
Account information: your email address and a unique account ID, via Firebase Authentication (or Google/Apple sign-in if you use that instead).
Practice recordings: audio (and, in video mode, video) of you speaking. By default these stay only on your device — the last 7 are kept locally, and the 8th replaces the oldest. A recording only leaves your device if you tap "Get AI feedback" or submit it as a Speak-Off challenge attempt.
AI feedback data: if you request AI feedback, that specific recording is uploaded for one-time analysis. The results — transcript, confidence score, pace, filler words, and feedback — are stored in your account indefinitely (until you delete your account), even though the original recording itself is deleted afterward (see Data retention below).
Speak-Off call data: live audio/video streamed in real time to the other participant during a Speak-Off call. This is not recorded or stored by Easence — it exists only as a live stream between participants.
Usage and practice data: onboarding choices (practice language, goal, level), streaks, session history, self-assessment ratings, Speaking Rank/level, and in-app purchase/coin transaction records.
Device and technical data: basic aggregate analytics (page/screen views, general performance metrics) via Cloudflare, and, if you use the rewarded-ads feature, advertising identifiers collected by Google Mobile Ads (AdMob) under its own privacy policy.
Support and communications: anything you send us directly, like a support email or a refund request.
2. How we use your information
- To run the core app — sync your streaks and history, show you daily content, and let you sign in on a new device.
- To generate AI feedback on a recording you explicitly submit for analysis.
- To connect you to another user for a Speak-Off challenge you started or accepted.
- To process purchases (coins, subscriptions) and track your balance/allowances.
- To respond to support requests and enforce our Terms of Service (e.g. acting on a report or block).
- To improve the app based on aggregate, non-identifying usage patterns.
3. AI processing (Google Gemini)
When you request AI feedback, the specific recording is sent to Google's Gemini API for analysis (transcription, scoring, and feedback generation). We do not use your recordings to train our own models, and we don't sell them to anyone. Google's own terms govern how Gemini processes that request on their infrastructure — see Google's privacy policy for details on their side of this.
AI feedback is generated automatically and can be wrong or misleading — see the AI Feedback Disclaimer in our Terms of Service.
4. Live Speak-Off calls (LiveKit)
Speak-Off's live audio/video calls run on LiveKit's real-time infrastructure. Your audio/video is relayed directly between you and the other participant for the duration of the call and is not recorded, stored, or analyzed by Easence. Standard call metadata (who joined, when, for how long) is logged the same way any call-based feature would be, to enforce time limits and resolve disputes (e.g. a report).
5. Data retention
- Locally on your device: your last 7 recordings, until replaced by newer ones or you clear app data.
- On our servers (Cloudflare R2), once uploaded for AI analysis: automatically deleted after 7 days. This is a real deletion of the audio/video file — not just hidden from your view.
- AI analysis results (score, transcript, feedback text): kept in your account indefinitely, so your history and Weekly Reports stay available, until you delete your account.
- Account and practice history: kept until you delete your account, after which it is permanently removed within a reasonable operational period, except where we're legally required to keep something longer (e.g. transaction records for tax/accounting purposes).
6. Who we share information with
We don't sell your personal information. We share it only with the service providers that make the app work, each acting on our instructions:
- Firebase (Google) — authentication.
- Google Gemini API — AI analysis of a recording you submit for feedback.
- Cloudflare — application hosting, file storage (R2), database connectivity, and site analytics.
- Neon — database hosting for your account and practice data.
- LiveKit — real-time infrastructure for Speak-Off calls.
- Google Mobile Ads (AdMob) — only if you choose to watch a rewarded ad.
- Apple App Store / Google Play — processes any in-app purchase; we never see or store your card details ourselves.
We may also disclose information if required by law, or to investigate a report of abuse (e.g. a Speak-Off user reported for harassment).
7. Your choices and rights
- Delete your account at any time from Settings — this removes your account, practice history, and AI analysis results.
- Report or block another user directly from a Speak-Off challenge or call.
- Turn off rewarded ads simply by never using that feature — it's opt-in, not required for any core functionality.
- Contact support@easenceapp.com for any request about your data, including access or export.
8. Security
We use industry-standard measures (encrypted connections, access controls, auto-expiring storage) to protect your information, but no system is perfectly secure. If you believe your account has been compromised, contact us immediately.
9. Changes to this policy
If we make a material change to this policy, we'll update the "Last updated" date above and, for significant changes, notify you in the app.
